With Calendly’s new feature, screen customers before they schedule an appointment with you


If you’re looking for an easy and efficient way to screen customers and book appointments, Calendly has created a new feature that dramatically simplifies the process.

Calendly is an online appointment scheduling service for individuals, teams, and businesses that recently implemented a new productivity feature called Routing form. This Calendly feature makes the customer booking process more efficient and customer-centric.

How Calendly’s Routing Forms Work

Calendly’s Routing Forms feature allows you to create forms for customers/customers with minimal screening questions (as few as possible) – how the client/customer responds to those questions will determine See with whom and where they will be booked. This allows you to qualify customers before they book an appointment and is less likely to miss out on your business.

How to create a Schedule Routing Form

First, create a Calendly account. Then log in to your account and click on the Routing Forms tab from the main window (Picture A).

In the window that appears, click New Routing Form (Figure BUT).

Name the new form and then, when prompted, click Add Question (SIZE).

When you click Add Question, you’ll see a drop-down menu where you can choose:

  • Name
  • Email address
  • Phone number
  • Drop-down menu
  • Radio button
  • Short answer
  • Paragraph

For example, let’s say you want to create a form that allows a customer or customer to add a name, email address, and a reason to book an appointment. To do that, you will first select Name from the drop-down menu. Configure the question – each question will have different options – and click Save (Visualization).

Add more questions to complete your form, as you like, and click Next (Figure E).

In the next window you can define the routing logic that will determine where the booking request will be sent (Figure F).

How you create the routing logic will depend on the questions you’ve added. For example, you can route to an event, such as a 30-minute meeting, based on a specific domain.

You may have customers from a particular company who all use the same domain. You can configure the routing logic so that only bookings that include their domain are routed to the 30-minute meeting (WOOD Figure).

In our example, all instances that do not include the example.com domain will be directed to a custom message that you can edit.

When you’re done, click Save Route and then Public Form. You’ll see a shareable and/or embeddable link that you can send to clients and clients or add to your website.

And that’s all it takes to add a Routing Form to Calendly so you can screen people before they can book an appointment on your calendar.
