How to integrate Power BI reports with presentations in Microsoft PowerPoint


Graphical reports share a lot of information quickly. If your organization uses Power BI, find those stories in existing reports before you create them from scratch for Microsoft PowerPoint presentations.

If your organization is using Microsoft Power BI mobile, you have access to a lot of data through interactive reporting. That information is important when making decisions and presenting developments, goals, and other standards to others in your organization. Power BI reports are now easier to share than ever because you can add them Microsoft Powerpoint presentations.

In this tutorial, I’ll show you how to share Power BI reports as live reports or embedded images that work from PowerPoint or Power BI mobile. Working with existing Power BI reports will save you a lot of preparation time.

This feature is available for Microsoft 365 and Power BI mobile users.

How to get the Power BI add-in for Microsoft PowerPoint

You probably already have this feature in PowerPoint. Click the Insert tab and find the Power BI group in the middle of the ribbon. Click the button to add the frame and start the process.

If you can’t find that button, download Power BI as follows:

  1. Click the Insert tab.
  2. In the Add-ins group, click Get Plug-ins.
  3. In the dialog box that appears, search for Power BI.
  4. Select Microsoft Power BI, as shown in Picture Aand click OK. The download may take a few seconds.

Regardless of whether you used the Power BI button or the add-in, you are now ready to link to the report. To do so, access the online report using Power BI mobile, paste its URL into the plug-in control, as shown in Figure BUGand click Insert. Wait a few seconds for this feature to link to the appropriate report.

Insert the report URL to display the report in a PowerPoint slide.

SIZE display the results report in a PowerPoint slide. Throughout the program, you can filter reports as if you were using a Power BI mobile phone. Also, the link is live, so when you update information via the data source, the link will update the report in PowerPoint. To embed another report, you’ll need to download the new add-in framework or click the Power BI button through the PowerPoint interface.

You don’t need to start with PowerPoint. You can also share reports from Power BI mobile to PowerPoint.

How to share Power BI reports with Microsoft PowerPoint

If you want to get started with Microsoft Power BI mobile, open the report and then use Share or Export. Both options provide a PowerPoint selection and end up showing the dialog shown in Visualization.

After copying the link, open PowerPoint and insert the URL into the Power BI pane as you did above.

You can copy a link by exporting or sharing the report from Power BI mobile.

The difference with this route is that Export allows you to embed the report as an image, which will not update or link directly. Sharing allows you to send the link to people via email or open the report in a new PowerPoint file.

Using Export or Share, you can skip the add-in download by clicking Open in PowerPoint (Visualization). Doing so will open a new .pptx file and import the report onto a slide without downloading the add-in framework first.

Share in Microsoft PowerPoint

The people you share the PowerPoint presentation with will need an active Power BI account and access to the report to view the data in the presentation. Use the Share to PowerPoint option shown in the previous section.

Unauthorized users must request access to the report from its owner directly from within the PowerPoint presentation.

Thanks to this new connectivity between Microsoft Power BI and Microsoft PowerPoint, you can share your data stories in your PowerPoint presentations using existing Power BI reports. That link is live, so whenever you share that story, your report will be updated. To work effectively, you can’t beat this combination.
